We are seeking highly skilled and experienced Executive Assistants to handle advanced, diverse, and confidential administrative responsibilities. This role requires a strong foundation in organizational policies, practices, and comprehensive experience in executive support.
Responsibilities
As an Executive Assistant, your key responsibilities will include:
- Calendar Management: Efficiently manage executive calendars by scheduling appointments, coordinating meetings, and documenting minutes to ensure seamless organization.
- Communication Handling: Act as a gatekeeper for executives by screening and responding to emails, phone calls, and other correspondence. Provide clear and professional communication on behalf of executives.
- Document Preparation: Prepare, edit, and manage various documents, including reports and presentations, ensuring accuracy and professionalism.
- Travel Arrangements: Organize and coordinate travel plans, including booking flights, accommodations, and transportation, to meet the needs of executives.
- Research and Data Compilation: Conduct thorough research and compile relevant data to assist in executive decision-making processes.
- Project Management Support: Assist with tracking deadlines and milestones for various projects, ensuring progress aligns with organizational goals.
- Event Coordination: Plan, organize, and execute both virtual and in-person events, such as conferences, team meetings, and client engagements, ensuring every detail is addressed.
- Standard Operating Procedures: Contribute to the development and documentation of standard operating procedures to streamline processes and improve efficiency.
Requirements
Candidates must meet the following requirements to be considered for the role:
- Educational Background: A college degree is required.
- Clearance Documents: Applicants must provide either an NBI Clearance or Police Clearance (preferred) upon hiring.
- Software Proficiency:
- Must be comfortable using Hubstaff, a time-tracking application.
- Experience with CRMs and relevant software is essential.
- Project Management Tools: Familiarity with tools like Monday.com, Asana, and Trello is required for managing tasks and projects effectively.
- Language Proficiency: Professional-level English skills, both written and verbal, are a must for seamless communication.
- Technical Requirements:
- Hardware recommendations include an Intel Core i5 or equivalent processor with at least 8 GB RAM.
- Backup systems, including a secondary laptop, internet connection device, and power supply, are essential for uninterrupted productivity during emergencies.
- Additional equipment includes a 720p HD Webcam and a noise-canceling headset for clear communication during virtual meetings.
