Key Responsibilities

As the IT Financial Ops Coordinator, your responsibilities will include:

  • Expense Tracking and Compliance: Monitor and track software expenses using formal systems. Ensure adherence to contracts, Service Level Agreements (SLAs), and software licenses, focusing on cost optimization.
  • Procurement Management: Handle day-to-day procurement and administrative tasks, including processing purchase orders, invoices, and vendor requests. Negotiate with vendors to secure the best deals and terms for Edifecs.
  • Vendor Coordination: Manage relationships with critical vendors, focusing on urgent procurements and service outages. Meet with vendors to review SLAs and ensure compliance with Edifecs’ standards. Collaborate with the Legal team on contracts, Non-Disclosure Agreements (NDA), and other legal matters.
  • Supply Chain Management: Develop strategies for supply chain management and license cost reduction. Maintain up-to-date records, such as vendor lists, procurement trackers, and project lists.
  • Security and Compliance: Work closely with vendors to ensure compliance with security protocols and maintain records for adherence.
  • Evaluation and Assessment: Analyze products and vendors to ensure they meet Edifecs’ procurement criteria. Share evaluations as per the company’s policies.
  • Asset Management: Plan and track the inventory of hardware and software assets throughout their lifecycle, from purchase to retirement.
  • Budget Planning: Create detailed spending plans for annual maintenance contracts and support yearly budget preparation. Coordinate closely with the Accounting and Finance teams for monthly reconciliations and budget tracking.
  • Budget Analysis: Monitor IT budget performance, including actual spending, forecasts, and variances, and identify opportunities for cost savings and efficiency improvements.
  • Project Support: Assist with project management by creating plans, schedules, and reports. Coordinate resources and communicate with stakeholders. Lead project meetings, workshops, and presentations.

Skills and Experience

Successful candidates will have:

  • At least two years of experience in IT budgeting, procurement, or project management.
